Writing too much.
While your intentions may be good and you just want to be thorough, writing a novel for a simple inquiry is unnecessary. The tool of email in the workplace is made to be able to see information and respond quickly to assure work gets done quickly and efficiently. That being said, try to cut down on unnecessary things to say in an email.
“Reply All.”
This is the button that has gotten many employees in big trouble with their bosses or has endlessly annoyed their co-workers. While you may be excited about an announcement sent through company email, be careful not to respond inappropriately. Instead, block off time to talk about it at lunch with colleagues.
Sending too quickly.
You should be much more thorough in emails about a company project, but be sure to double-check and reread all the information you’ve included. Make sure you write everything you need so you don’t end up sending another email on top of the more in-depth one.
Sending “URGENT.”
While the situation may be a company emergency or maybe you just need to change meeting times and feel that your message is urgent, other co-workers or employees may feel you just scared them for no reason. Being that person in the office who is always raising concern is not a label you want. Instead, use a subject title that describes the issue you need to solve.
Using abbreviations.
While abbreviations may just seem like an effective way to send an email quickly it can look very informal or too casual in the workplace for such language. Instead, use appropriate whole words to show respect for your counterparts.
One-word replies.
While one-word replies may seem like a quick, harmless way to respond, it can come off as apathetic, dismissive, or even rude. Think about the time it took to send a thorough email and have that same respect back by replying with more than just “OK.”
